Sharing Your Booking Link and Website Widget
Once your calendar is set up in Dental Marketing Tool, getting patients to actually book is a matter of putting your scheduler in front of them. This article walks you through copying your booking link, embedding the calendar widget on your website, and sharing the link anywhere patients might see it.
Finding Your Booking Link
Every calendar you create comes with its own unique booking link. To grab it:
- Open the Calendars tab from the main menu.
- Click on the calendar you want to share.
- Click Settings on that calendar.
- Scroll to the Booking Link section. You will see the full URL there.
- Click Copy Link to copy it to your clipboard.
This link opens a clean scheduling page where patients can pick a date, choose an appointment type, and enter their contact information. No login or app is required on their end.
Embedding the Widget on Your Website
The website widget lets patients book directly from your site without leaving the page. It is the highest-converting placement because the patient never has to go anywhere else.
- Go to Calendars and open your calendar's Settings.
- Scroll to the Website Widget or Embed Code section.
- Click Copy Code to copy the embed snippet.
- Paste that code into your website wherever you want the scheduler to appear. Most website builders (including common page editors) let you drop in a custom HTML or embed block. Paste the code there and publish the page.
If your website is managed by someone else, email them the embed code and tell them where you would like it placed. A common placement is a dedicated "Book an Appointment" page, or as a section near the bottom of your home page.
Sharing the Link via Text Message
Text messages are one of the fastest ways to get a patient to book. You can send your booking link directly from the Conversations tab, paste it into a text campaign, or have your front desk drop it into any outbound message.
Because the link is just a plain URL, it works in any text. For example, when a patient calls about scheduling and you miss them, following up with a quick text that includes your booking link can fill that open chair without a callback tag going through the phone tag cycle. You can also use saved quick replies to store your booking link as a reusable message snippet so the front desk can send it in one tap.
Adding the Link to Your Social Media and Link-in-Bio
If your practice has a Facebook page, Instagram profile, or Google Business Profile, your booking link belongs in the bio or the "Website" field of each one. Patients who find you online should be able to book with a single tap.
- Instagram bio: Paste your booking link directly in the website field under your profile, or use a simple link-in-bio page that includes it as one of the buttons.
- Facebook Page: Add it as your page's website URL, or create a Book Now call-to-action button on your page and point it to your booking link.
- Google Business Profile: Add it in the "Appointment links" field inside your profile settings so it appears on your Google listing.
Including the Link in Email Campaigns and Review Requests
Anywhere you communicate with patients is an opportunity to make scheduling easy. Drop your booking link into reactivation email campaigns, appointment reminder messages, or even your review request follow-ups. Patients who read a message are already thinking about your practice, and a one-click booking link meets them in that moment.
For patients who come in for a visit and mention they need to schedule a follow-up, your front desk can text the link on the spot rather than booking manually. This keeps the flow moving and reduces phone hold time.
What Patients See When They Click
The booking page shows your available appointment types, open time slots based on your calendar settings, and a short form for the patient's name, phone number, and any other fields you have configured. After they submit, they receive a confirmation, and the appointment lands on your calendar automatically. You can set up automated appointment reminders so the patient gets a text or email before their visit without any extra work from your team.
Once your booking link is live, take a few minutes to confirm everything flows correctly by doing a test booking. For a full review of what else your calendar can do, visit the Calendars Overview or check out Team and Round-Robin Calendars if you have multiple providers on staff.
