Exporting Your Contacts

You can download your full patient list (or any filtered subset of it) as a spreadsheet file directly from Dental Marketing Tool. This is useful for record-keeping, data reviews, or sharing a list with your front-desk team.

When You Might Need an Export

Exporting contacts is handy in a number of situations:

  • Backing up your patient list at a regular interval
  • Reviewing contact data outside the platform in a spreadsheet
  • Sharing a filtered list with a team member who needs to follow up by phone
  • Cross-checking records against your practice management software
  • Preparing a mailing list for a campaign or event

How to Export Your Contacts

  1. Open the Contacts tab from the main menu on the left side of your dashboard.
  2. Your full contact list will load. If you want to export everyone, proceed to the next step. If you only want a specific subset, apply your filters now (see the tip below).
  3. Once your list looks right, click the Export button near the top right of the contacts table. It may appear as a small icon or a labeled button depending on your screen size.
  4. A prompt will confirm what you are about to download. Review it and click Confirm.
  5. The platform will generate your file and either download it automatically to your browser's default downloads folder, or present a download link you can click.

The export file will be in CSV format, which opens in Microsoft Excel, Google Sheets, or any standard spreadsheet application.

Tip If you only need a portion of your list, use smart lists and filters to narrow down your contacts before exporting. For example, you could filter by tag, date added, or any custom field before clicking Export. Only the contacts visible in the filtered view will be included in the download.

What the Export Includes

The CSV file contains the standard contact fields for every record in the view you exported. You can expect to see columns like:

  • First and last name
  • Phone number
  • Email address
  • Date the contact was added
  • Tags assigned to the contact
  • Any custom fields you have set up for your practice
Note Conversation history, appointment records, and internal notes are not included in the contact export. The export covers the contact record fields only.

Exporting a Specific Group Using Bulk Selection

If you want to export only a hand-picked set of contacts rather than everything in a filtered view, you can use bulk selection first.

  1. In the Contacts tab, check the boxes next to the individual records you want to include.
  2. A bulk-action toolbar will appear at the top or bottom of the list once one or more contacts are selected.
  3. Look for an Export option in that toolbar and click it.
  4. Only your selected contacts will be included in the downloaded file.

A Note on Data Privacy

Patient contact information is sensitive. Store your exported files securely and avoid sending them over unencrypted channels like regular email attachments. Delete files you no longer need and limit access to team members who have a business reason to view the data.

Heads up Anyone on your team who has access to the Contacts tab can run an export. If you need to restrict this, review your team's permission settings under My Staff before broadening access to the platform.
