Reactivating Old Patients

A reactivation campaign is one of the fastest ways to fill open chairs by reaching out to patients you already know but haven't seen in six months or more. This article walks you through building and sending a win-back campaign inside Dental Marketing Tool so those patients hear from your practice before they book somewhere else.

Why Reactivation Works

Patients who have visited your practice before already know and trust you. Many lapse simply because life got busy, not because they had a bad experience. A friendly, well-timed message reminding them it's time for a cleaning or exam often brings them right back in. Because you're contacting people who already consented to hear from you, reactivation is also one of the most cost-effective things you can do compared to advertising for brand-new patients.

Tip Aim to run a reactivation campaign at least once per quarter so no patient goes more than a year without hearing from you.

Step 1: Build Your Lapsed-Patient List

Before you send anything, you need a clean list of patients who haven't been in recently. Dental Marketing Tool lets you filter your contacts to find exactly that group.

  1. Open the Contacts tab from the main menu.
  2. Click Add Filter and choose a date-based field, such as last appointment date or last visit, to surface patients with no activity in the past six months or longer. If your practice uses tags, you can also filter by a tag like lapsed that your team applies after missed recall attempts.

Step 2: Choose Your Outreach Channel

You can reach lapsed patients by email, by text message, or both. A two-touch approach, starting with a text and following up with an email a few days later, tends to get the best response.

Step 3: Write a Message That Feels Personal

The tone of a reactivation message matters. You're not sending a promotion. You're checking in on someone's health.

  • Open with the patient's first name using a personalization field so each message feels one-to-one.
  • Keep it brief. Remind them it's been a while, mention that their smile is worth keeping up with, and make it easy to book.
  • Include your practice name, phone number, and a direct booking link. Patients who aren't ready to book online may prefer to just call the front desk.
  • Avoid pressure tactics. A simple, caring tone converts much better than urgency-heavy language.

A basic text might read: Hi [First Name], it's been a while since we've seen you at [Practice Name]. We'd love to get you back in for a cleaning. Reply to this message or call us at [Phone] to schedule.

Step 4: Send the Campaign

  1. Go to the Marketing tab and select either Email Campaigns or SMS Campaigns depending on your channel.
  2. Click New Campaign and give it a name you'll recognize later, such as Q3 Reactivation - Lapsed 6mo+.
  3. Select your saved lapsed-patient smart list as the recipient group.
  4. Choose or paste your message. For email, select a saved template or build one from scratch.
  5. Set your send time. Mid-morning on a Tuesday or Wednesday tends to see good open rates, but the best time is whichever your patients respond to, so test and adjust over time.
  6. Review the recipient count and the message preview, then click Send or Schedule.
Heads up Always double-check that your recipient list excludes patients who have unsubscribed or opted out. Sending to opted-out contacts can put your practice in violation of messaging regulations.

Step 5: Follow Up and Track Responses

After your campaign goes out, watch your Conversations inbox for replies. Patients may text back to ask questions or request an appointment. Your team can respond directly from the inbox and book them on the spot.

For email campaigns, the platform shows you open and click stats on the campaign detail page so you can see who engaged. Patients who clicked your booking link but didn't schedule are worth a personal follow-up call from the front desk.

If you plan to run this campaign regularly, consider saving your message as a reusable template and noting which subject lines and send times produced the most booked appointments. That institutional knowledge pays off every quarter.
