Sending a Review Request from a Conversation

When a patient wraps up an appointment on a great note, that momentum is your best chance to earn a new Google review. Dental Marketing Tool lets you send a review request directly from the conversation thread, so you can act on that goodwill in seconds without leaving the inbox.

Why Send Review Requests from the Inbox

Your front desk is already in the Conversations inbox handling messages throughout the day. Rather than logging into a separate tool or waiting for an automated drip to fire, you can personally send a review request the moment a patient texts something like "Thanks, I loved my appointment." Personal timing like that tends to produce far better response rates than a blanket batch send.

Before You Start

Make sure your Google Business Profile is connected to Dental Marketing Tool so the platform knows where to direct the patient. If you have not done this yet, see Connecting Google and Facebook Reviews before continuing. Once the connection is in place, your Google review link is automatically embedded in every review request you send.

How to Send the Request

  1. Open the Conversations tab from the main left-hand menu.
  2. Click on the patient's conversation thread you want to follow up with.
  3. Look for the action buttons in the message composer area at the bottom of the thread. Click the Send Review Request button (it may appear as an icon or option within the More Actions menu depending on your screen size).
  4. A preview of the review request message will appear. The message includes a direct link to your Google review page so the patient lands in the right place with no extra steps.
  5. Review the message text, then click Send.

The request goes out as a text message to the patient's mobile number on file. The conversation thread updates to show the sent request, so any other team member who opens the thread can see it was already handled.

Tip If you find yourself typing a custom follow-up note before or after the review request, you can use a saved quick reply to insert a warm, pre-written line in one click rather than typing it fresh each time.

What the Patient Sees

The patient receives a short, friendly text with your practice name and a direct link. Tapping the link opens Google Reviews already filtered to your practice listing, so leaving a review is a matter of tapping the stars and writing a line or two. The simpler the path, the more reviews actually get written.

Keeping Track of Who Has Been Asked

After you send the request, consider starring the conversation or adding an internal note so the rest of the team knows the patient has already been contacted. This prevents awkward double-asks if another team member opens the same thread later. If the Patient Does Not Respond

Not every patient will act on the first message, and that is normal. Avoid sending a second review request to the same patient within a short window.
