Sending Review Requests

Sending a review request takes only a few seconds and can make a real difference in how your practice shows up online. This article walks you through how to send a request by text or email directly to a patient from inside Dental Marketing Tool.

Before You Send: Make Sure Reviews Are Connected

Review requests work best when your Google Business Profile (and optionally your Facebook page) are connected to the platform. If you have not done that yet, see Connecting Google and Facebook Reviews before sending your first request. Once connected, patients who tap your review link will land directly on your Google or Facebook review form.

Finding the Patient You Want to Request From

You can send a review request from two places: the patient's contact record or an open conversation in your inbox. Both routes get to the same place.

From the Contact Record

  1. Open the Contacts tab in the main menu.
  2. Search for the patient by name or phone number and open their record.
  3. Look for the Send Review Request button near the top of the record (it may also appear in the action menu depending on your layout). Click it.

From a Conversation

  1. Open the Conversations tab.
  2. Find and open the patient's conversation thread.
  3. Click the Request Review option. It is typically found in the action icons along the conversation toolbar or in a dropdown menu at the top of the thread. See Sending a Review Request from a Conversation for a closer look at this workflow.

Choosing Text or Email

Once you open the review request dialog, you will choose how to send it.

  • Text (SMS) is usually the better choice. Most patients open texts within a few minutes, and tapping a link from a phone takes them straight to the review form.
  • Email is a good backup if you do not have a mobile number on file or if the patient prefers email contact.

The platform will pre-fill a short, friendly message with your review link already included. You can edit the message before sending if you want to personalize it, for example by adding the patient's first name or a note referencing their visit.

Tip Personalizing the message even slightly ("Hi Sarah, it was great seeing you today") increases the chance the patient actually leaves a review. Keep it short and warm.

Sending the Request

  1. Review the message text and make any edits you want.
  2. Confirm the delivery method (text or email) and verify the address or number shown is correct.
  3. Click Send.

The request will be logged in the patient's conversation thread so your team can see it was sent and when.

Note Each patient should only receive one review request per visit. Sending multiple requests to the same person in a short window can feel pushy and may reflect poorly on your practice.

Timing: When to Ask

The best time to send a review request is shortly after the appointment while the experience is fresh, typically the same day or the following morning. Waiting more than a day or two drops response rates noticeably. If you want the platform to handle this automatically for every visit, you can set up a trigger that sends the request a set number of hours after an appointment is completed. Heads up Only request reviews from patients who actually visited and had a positive experience. Review platforms prohibit incentivized or selectively solicited reviews, and violating those policies can get your listing penalized.

What Happens After You Send

The patient receives your text or email with a direct link. When they tap it, they are taken to your connected review platform (Google or Facebook) where they can leave a star rating and written review.
