Using the Mobile App

The Dental Marketing Tool mobile app lets you stay connected to your practice from anywhere. Reply to patient messages, answer calls, and check your schedule without sitting down at a computer.

Downloading and Logging In

Search for Dental Marketing Tool in the Apple App Store or Google Play Store and install the app. Once it downloads, open it and sign in with the same email and password you use on the desktop. If your practice has multiple staff members with their own logins, each person signs in with their own credentials and the app reflects only what their role can access.

Note Your account permissions carry over to the mobile app. If a staff member cannot see certain sections on desktop, those sections will not appear in the app either. See User Roles and Permissions for details.

Replying to Patient Messages

The Conversations tab in the app is your unified inbox for texts, emails, Facebook messages, and missed call notifications. Everything that comes into your practice inbox on desktop shows up here in real time.

  1. Tap the Conversations icon at the bottom of the screen.
  2. Tap any thread to open it. You will see the full message history with that patient.
  3. Type your reply in the message field at the bottom and tap Send.
  4. To switch between replying by text or email, tap the channel selector just above the message field.

If you use saved replies on desktop, those are available in the app as well. Tap the quick-reply icon inside the message field to pull up your saved templates and drop one in with a tap. Learn more about setting those up in Saving Time with Quick Replies.

Tip Turn on push notifications for the Dental Marketing Tool app so you get alerted the moment a patient sends a message or a new call comes in. Go to your phone's notification settings and make sure the app is allowed to send alerts.

Taking and Making Calls

If your practice uses the built-in phone number, you can make and receive calls directly from the app. Incoming calls show a notification, and you answer them the same way you would any other call on your phone. The conversation thread for that patient updates automatically when a call ends.

To call a patient from the app:

  1. Open the patient's conversation thread or contact record.
  2. Tap the phone icon near the top of the screen.
  3. The app dials out using your practice number, so the patient sees your office caller ID.

Checking Your Schedule

Tap the Calendars icon to view your appointment calendar on the go. You can see the day view or week view, check which chairs are booked, and tap any appointment to see patient details. If your practice uses team calendars, you can toggle between providers using the filter at the top of the calendar view.

The mobile calendar is read-only for most staff roles. Rescheduling, canceling, and managing no-shows is best handled from the desktop where you have the full appointment panel. For those workflows, see Rescheduling, Canceling, and No-Shows.

Staying Notified Without Staying Glued to the Desk

The main reason most practices install the mobile app is so someone is always reachable, even when the front desk is with a patient or the office is closed. Pair the app with your missed call text-back settings and your AI agent so that patients get an immediate response after hours, and you get a notification when something needs a personal reply.

Heads up If you have multiple team members sharing one device to monitor the inbox, make sure each person logs in with their own account. Shared logins can cause missed notifications and make it harder to track who responded to what.

Keeping the App Up to Date

Enable automatic app updates on your phone so you always have the latest version. New features and bug fixes are released regularly, and an outdated app may behave differently from what you see in these help articles.
