Setting Up Your Practice Profile
Your practice profile is the foundation of everything in Dental Marketing Tool. Completing it now ensures your name, logo, and contact details appear correctly across messages, booking pages, review requests, and any communications that go out to patients.
Where to Find Your Practice Profile
From any screen in your dashboard, click the Settings icon in the left-hand navigation menu. Then select Business Profile from the settings menu. This is where all of your core practice information lives.
Practice Name and Contact Information
At the top of the Business Profile page, fill in the following fields:
- Business Name - Enter your practice name exactly as you want patients to see it (for example, Riverside Family Dentistry).
- Phone Number - Use your main front-desk line. This is the number that appears on your booking pages and outgoing communications.
- Email Address - Enter a practice email address patients can reply to. Avoid using a personal address here.
- Website URL - Add your practice website so it can be included in your patient-facing pages.
Address and Time Zone
Scroll down to the Address section and enter your full street address, city, state, and ZIP code. Accurate address information matters for local visibility and for any maps or directions shown to patients.
Just below the address, confirm your Time Zone. Click the dropdown and select the time zone where your practice is located. Getting this right is important because appointment confirmations, reminders, and scheduling all use this setting to display times correctly to your patients.
Business Hours
In the Business Hours section, set the days and times your practice is open. For each day of the week, toggle the switch on or off, then use the time fields to enter your opening and closing hours. If your practice closes for lunch, you can add a break window by clicking Add Hours on that day.
These hours are used by the platform to determine when automated messages go out, when your AI receptionist is active, and when online booking is available. You can always update them later if your schedule changes. For more on fine-tuning appointment availability, see setting your office hours and availability.
Logo and Branding
Upload your practice logo in the Business Logo field. Click Upload Logo and select a PNG or JPG file from your computer. A square or horizontal logo with a transparent or white background works best.
Your logo appears on the patient-facing booking page, email communications, and anywhere the platform generates branded content for your practice. If you do not have a high-resolution version, ask your front desk manager or whoever maintains your website, as they likely have the file on hand.
Saving Your Profile
Once you have filled in all the fields, scroll to the bottom of the page and click Save. The platform will confirm that your changes were saved. You can return to this page at any time to update your information.
What to Do Next
With your practice profile complete, you are ready to start exploring the rest of the platform.
