Viewing Invoices and Receipts

This article walks you through finding any invoice or receipt in your Dental Marketing Tool account, downloading a PDF copy, and sending one directly to your inbox or accountant.

Getting to Your Invoice History

All billing records are stored in one place. To get there:

  1. Click your account name or avatar in the lower-left corner of your dashboard.
  2. Select Billing from the menu.
  3. Scroll down to the Invoices section. You will see a list of every charge posted to your account, sorted with the most recent at the top.

Each row shows the invoice date, the billing period it covers, and the total amount charged.

What Each Invoice Includes

When you open or download an invoice, it contains:

  • Your practice name and billing address on file
  • The billing period (start and end date of that cycle)
  • A line-item breakdown of subscription charges and any additional usage fees
  • The payment method used (last four digits of your card)
  • The total amount charged and the date it was collected

Downloading a PDF Copy

To save a receipt for your records:

  1. In the Invoices section, find the invoice you need.
  2. Click the download icon on the right side of that row.
  3. A PDF will save to your computer. You can print it, attach it to an email, or drop it into your accounting software.
Tip If you need to hand an invoice to your accountant or bookkeeper at the end of the year, download each monthly PDF and save them in a folder named by year. It takes about two minutes per invoice and keeps your records clean come tax time.

Emailing a Copy to Yourself or Your Accountant

You can send any invoice as an email attachment without leaving the platform:

  1. Click the Email Invoice button next to the invoice you need (it may appear in a dropdown or action menu on that row).
  2. Enter the recipient's email address in the field provided.
  3. Click Send. The PDF will arrive in their inbox within a few minutes.

This is handy if your front desk manages billing and your accountant works off-site. You can send them a copy anytime without downloading and re-attaching the file yourself.

Finding an Older Invoice

By default, your invoice list shows the most recent charges. If you need to go further back:

  • Use the date filter or date range picker above the invoice list to narrow to a specific month or year.
  • Scroll through older records once you have applied the filter.

Every invoice since your account opened is stored here, so you can pull records from any period at any time.

Heads up If a payment did not go through, the invoice for that period may show a status of Past Due rather than Paid. Resolve the balance first, then the invoice will update to reflect the successful payment. See Fixing a Failed or Past-Due Payment for step-by-step guidance.

Updating the Billing Name or Address on Your Invoices

If the practice name or mailing address on your invoices needs to be corrected, update it in your practice profile. Go to Settings, then Practice Profile, and edit the fields there. The updated information will appear on all future invoices automatically. Past invoices will retain the information that was on file at the time they were generated.
