Understanding Your Subscription

Your Dental Marketing Tool subscription covers the core platform features your practice uses every day, and knowing how your billing cycle works helps you avoid surprises. This article walks you through what your plan includes, when you are charged, and where to find the details in your account.

What Your Monthly Plan Includes

Your subscription gives your practice access to the full set of platform tools available on your plan tier. Depending on the plan you are on, this typically covers:

  • The unified Conversations inbox for texts, emails, and calls
  • Online booking calendars and automated appointment reminders
  • Patient contact management and new patient pipelines
  • Reputation tools for sending and managing reviews
  • Marketing tools including email and text campaigns
  • AI agents for after-hours coverage and appointment booking
  • Ad campaign launching for Facebook and Instagram
  • Staff seats up to the limit on your plan
Note Some features, such as AI phone calls, outbound text messages, and certain usage-based services, are billed separately through your account wallet rather than your flat monthly rate. See Wallet and Usage Charges Explained for details.

How Your Billing Date Works

Your billing date is set the day you first activated your subscription. That same date repeats each month as your renewal date. For example, if you started on the 8th of the month, your card is charged on the 8th every month going forward.

Your subscription renews automatically. There is no action required on your end each month. As long as your payment method is current, access continues without interruption.

Tip If you want to confirm your exact renewal date, open Settings, then click Billing. Your next billing date is shown near the top of that page alongside your current plan name.

Finding Your Plan Details

  1. From your dashboard, click Settings in the left menu.
  2. Select Billing.
  3. Under Subscription, you will see your current plan name, your renewal date, and a summary of what is included.

Staff Seats and Your Plan Limit

Each plan includes a set number of staff user accounts. If your front desk has grown and you need to add more team members than your current plan allows, you may need to upgrade before the new seat becomes available. Open Settings and go to My Staff to see how many seats are in use versus how many your plan supports.

What Happens if a Payment Does Not Go Through

If your card is declined on your renewal date, the platform will retry the charge automatically over the following days. You will receive an email notification so you have a chance to update your payment information before any features are restricted.

If you need to swap out a card, you can do that any time in Settings under Billing. The new card takes effect immediately for future charges. For the full walkthrough, see Updating Your Payment Method.

Heads up If a payment remains past due for an extended period, access to certain features may be limited until the balance is resolved. See Fixing a Failed or Past-Due Payment if you need help getting back on track.

Making Changes to Your Plan

If your practice needs have changed and you want to move to a different plan tier, you can request a change through the Billing section of your settings. Plan changes typically take effect at the start of your next billing cycle. For the full process, visit Upgrading or Changing Your Plan.
