Tracking Leads from Your Ads

When you run an ad through Dental Marketing Tool, every person who responds to it becomes a trackable contact in your dashboard. This article shows you exactly where those people land, how to follow up quickly, and how to make sure no one slips through the cracks.

Where Ad Leads Appear

As soon as someone submits the form attached to your ad, Dental Marketing Tool creates a contact record and opens a conversation thread. You will find both in two places:

  • Conversations tab (the unified inbox): the new conversation appears here immediately, tagged with the name of the campaign that brought the person in.
  • Contacts section: a full contact record is created with the person's name, phone number, email (if collected), and the source ad noted on their record.

You do not need to do anything special to trigger this. The moment the ad form is submitted, the data flows in automatically.

Identifying the Source of a Lead

Every contact created from an ad is tagged so you can tell at a glance where they came from. To see the source:

  1. Open the Contacts section from the main menu.
  2. Click on the contact's name to open their record.
  3. Look at the Source field near the top of the record. It will show the campaign name or ad set that brought them in.

If you are running more than one campaign at a time, this field makes it easy to see which offer or audience is driving the most responses. You can also build a smart list filtered by source to group all leads from a specific campaign in one view.

Tip Use tags to mark leads from a specific promotion (for example, Implant-June) so you can pull them up as a group and track how many booked an appointment.

Following Up Before They Go Cold

Someone who fills out a form is ready to hear from you right now. The faster you respond, the better your chances of getting them on the schedule. Here is the recommended workflow:

  1. Open the Conversations tab. New ad leads appear in the inbox with an unread indicator.
  2. Click the conversation to open it. You will see the information they submitted in the first message.
  3. Reply with a text or a call directly from the conversation thread. Introduce yourself, confirm their interest, and offer a specific appointment time.
  4. If they do not respond within a day, send a follow-up text or use a saved quick reply to keep the outreach consistent and fast.

Moving Leads Through Your Pipeline

Dental Marketing Tool includes a pipeline view so you can move each ad lead through stages: new inquiry, contacted, appointment scheduled, and so on. This gives the whole team visibility into where each person stands.

  1. From the contact's record, scroll to the Pipeline section.
  2. Select the appropriate stage for where this person is in the process.
  3. As the front desk follows up and books them, update the stage accordingly.

What to Do If a Lead Stops Responding

Not every ad response will book on the first contact. That is normal. A few things that help:

  • Send a second text 24 to 48 hours after the first if there has been no reply.
  • Try a different channel. If you texted first, try calling. The phone number they provided on the form is available right in the conversation.
  • Move the contact into a reactivation list if they go quiet for more than a week. You can send a batch follow-up later using the tools in the Marketing section.

Reviewing All Leads from a Campaign

To see a complete picture of who came in from a specific ad campaign, go to the Contacts section and filter by source or tag. You can also review click and form-submission numbers from the campaign's results panel. For a full walkthrough of those numbers, see reading your ad results.
