Monitoring Your Reputation Score

The Reputation section of your dashboard gives you a running view of your star rating, your total review count, and any new reviews that come in, so your team always knows where things stand without manually checking Google or Facebook.

Finding Your Reputation Dashboard

From any screen in Dental Marketing Tool, click Reputation in the left-side menu. The main screen that loads is your reputation overview. At the top you will see your current average star rating, your total number of reviews, and a breakdown by platform (Google and Facebook, once connected). Below that, you will see a timeline graph showing how your rating has trended over recent weeks and months.

Note If your Google or Facebook accounts are not yet linked, the platform columns will show no data. See Connecting Google and Facebook Reviews to get those connected first.

Reading the Rating Trend Over Time

The trend graph lets you spot patterns that a single snapshot misses. If your rating dipped in a particular month, you can scroll to that period and check which reviews came in around that time. If it climbed steadily, you can see which stretch of time produced strong feedback.

Use the date range selector above the graph to narrow or widen the window. Common options are the last 30 days, 90 days, and the full year. Comparing two time periods side by side can help you assess whether a change in your patient experience or your automated review request workflow made a measurable difference.

Watching the Review Feed

Below the trend graph, Dental Marketing Tool displays your most recent reviews in a feed, newest first. Each card shows the reviewer's name, the platform, the star rating, the review text, and the date it was posted. You can filter this feed by platform (Google or Facebook), by star rating, or by whether the review has been responded to.

This feed updates automatically as new reviews come in. You do not need to refresh the page or check back manually. If you want to respond to a review directly from this screen, click the review card and follow the prompts. For tips on crafting replies, see Responding to Reviews (with AI).

Setting Up Alerts for New Reviews

Dental Marketing Tool can notify you by email or text the moment a new review is posted. To turn on alerts:

  1. Open the Reputation tab and click Settings in the upper-right corner of the page.
  2. Locate the Review Notifications section.
  3. Toggle on Email Notifications, SMS Notifications, or both, depending on how you want to be reached.
  4. Enter the email address or mobile number that should receive the alerts. You can add more than one recipient, which is useful if both the owner and the front desk want to know right away.
  5. Click Save.
Tip Add your front-desk manager to the alert list so a negative review never sits unnoticed while you are with a patient. A fast, thoughtful reply can go a long way with the patient who left the review and with anyone reading it later.

Filtering by Star Rating to Find Issues Fast

If you want to audit your weakest reviews, use the Filter by Stars option in the review feed and select 1 or 2 stars. This gives you a quick list of the reviews that need the most attention. You can then work through them systematically, responding to each one without having to scroll past your four and five-star reviews.

Sorting by Unresponded is another useful filter. It shows only the reviews where your practice has not yet posted a reply, so nothing falls through the cracks.

Understanding What Moves Your Score

Your overall star rating is a weighted average across all connected platforms. A handful of older low-star reviews can drag the number down even when your recent patients are overwhelmingly positive. The most reliable way to raise the number over time is a steady, consistent flow of new review requests. Heads up Do not attempt to remove or flag reviews inside Dental Marketing Tool. Flagging a review for removal must be done directly on the platform (Google or Facebook) where it was posted, and outcomes are not guaranteed. The platform has no control over a third-party review site's moderation decisions.
