Connecting Google (Gmail and Calendar)
Connecting your Google account to Dental Marketing Tool lets you send and receive email through Gmail and keep your appointment calendar in sync with Google Calendar, so your schedule stays accurate across every device your team uses.
What the Google Connection Does
When you link Google, two things happen at once:
- Gmail sync routes outgoing emails from Dental Marketing Tool through your practice's Gmail address, so patients see a familiar sender name and replies land in both your inbox and the platform's unified Conversations inbox.
- Google Calendar sync enables two-way synchronization between the platform's booking calendar and your Google Calendar. Appointments booked through Dental Marketing Tool appear on Google Calendar, and existing blocks on Google Calendar prevent double-bookings. Before You Start
- Make sure you are logged in to Dental Marketing Tool as an admin or a user with integration permissions. If you are unsure of your role, check with your account owner or review user roles and permissions.
- Have the Google account credentials ready, or be signed in to that Google account in your browser already.
- If you manage multiple Google accounts, confirm which one you want to connect before starting. You can only connect one Google account per Dental Marketing Tool user profile.
How to Connect Your Google Account
- From your dashboard, click Settings in the left-hand menu.
- Select Integrations from the settings menu.
- Find the Google tile and click Connect.
- A Google sign-in window will open. Choose the Google account you want to link, or enter your credentials if you are not already signed in.
- Review the permissions Dental Marketing Tool is requesting, then click Allow. These permissions let the platform read and send email on your behalf and read and write calendar events.
- You will be redirected back to the Integrations page. When the Google tile shows a green connected status, the link is active.
Enabling Calendar Sync After Connecting
Connecting Google does not automatically turn on calendar sync. You activate that separately for each booking calendar you have set up.
- Go to Calendars in the main menu.
- Open the calendar you want to sync and click Edit.
- Under the Connections or Availability section, toggle on Sync with Google Calendar.
- Choose the specific Google Calendar (you may have several under one account) to sync with, then save your settings.
From this point forward, appointments will flow both directions between the platform and Google Calendar in real time.
Disconnecting or Reconnecting Your Google Account
If you need to switch to a different Google account or revoke access, go back to Settings and then Integrations. Click Disconnect on the Google tile. This does not delete any existing contacts or appointment history. To reconnect, simply click Connect again and complete the sign-in steps above.
Troubleshooting a Failed Connection
If the connection attempt fails or the tile shows an error after you link the account, the most common causes are:
- You clicked Cancel instead of Allow on the Google permissions screen. Repeat the steps and accept all requested permissions.
- Your Google Workspace administrator has restricted which third-party apps can access your account. Contact your IT administrator and ask them to approve the connection.
- Your browser blocked the pop-up window. Allow pop-ups for Dental Marketing Tool and try again.
