Integrations Overview

Connecting the right accounts to Dental Marketing Tool is what brings everything together. This article walks you through every available integration, what each one does for your practice, and where to go to set it up.

Why Integrations Matter

Dental Marketing Tool is designed to handle patient communication, appointment booking, marketing, and reputation management from one place. Integrations are what allow the platform to exchange information with the services your practice already uses, including Facebook, Google, and your phone system. Without those connections in place, features like ad campaigns, two-way calendar sync, and automated review requests will not function.

Most practices can complete all of their integrations during initial setup. If you have not done that yet, the first week checklist walks you through the recommended order.

Facebook: Page and Ad Account

There are two separate Facebook connections, and both are worth understanding before you start.

Your Facebook Page

Connecting your practice's Facebook Page lets Dental Marketing Tool send and receive Facebook Messenger messages directly inside the Conversations inbox. When a prospective patient messages your Page, the conversation appears alongside your texts and emails so nothing falls through the cracks.

To set this up, see Connecting Your Facebook Page.

Facebook Business and Ad Account

This is a separate connection used specifically for running paid ad campaigns. Linking your Facebook Business Manager and ad account allows you to launch, monitor, and manage Facebook and Instagram ads from within the platform. You will need this in place before you can publish any ad campaign.

To set this up, see Connecting Facebook Business and Ad Account.

Note The Facebook Page connection and the ad account connection are independent. You can have one without the other, but most practices benefit from connecting both.

Google: Gmail and Calendar

Connecting your Google account does two things at once. First, it gives the platform permission to send and receive emails on behalf of your Gmail address, so patient email threads show up inside Conversations just like texts do. Second, it enables two-way calendar sync, meaning appointments booked through Dental Marketing Tool appear on your Google Calendar, and existing Google Calendar events block off time so patients cannot double-book you.

To set this up, see Connecting Google (Gmail and Calendar). Once connected, review your availability settings under Setting Your Office Hours and Availability to make sure your calendar reflects when you actually want to accept bookings.

Google Business Profile

Your Google Business Profile is the listing that shows your practice hours, phone number, photos, and reviews in Google Search and Maps. Connecting it lets Dental Marketing Tool pull in your Google reviews so you can read them and respond without leaving the platform. It also powers automated review request workflows that reach patients right after their appointment.

To set this up, see Connecting Your Google Business Profile.

Phone Number (Texting and Calling)

To send and receive text messages, the platform needs a dedicated phone number registered to your practice. This number is what patients will see when you text them appointment reminders, review requests, or any other outreach. It can also receive inbound calls and forward them to your office line if you choose.

Setting up your number is one of the first things you should do because several features, including the missed-call text-back, depend on it. See Setting Up Your Texting and Calling Number to get started.

Tip Choose a local area code that matches your practice location. Patients are more likely to open and reply to texts from a number that looks familiar.

Checking Your Integration Status

You can see the current status of all your connections at any time. Open Settings in the left menu, then navigate to the Integrations section. Each connection will show as active, expired, or disconnected. If an integration shows a warning or a reconnect prompt, it usually means an access token has expired and you just need to log in again to refresh it.

For step-by-step help with a broken connection, see Fixing a Disconnected Integration.

What to Do Next

Once your integrations are in place, the logical next steps are confirming your calendar availability and turning on patient messaging. Start with Automated Appointment Reminders to reduce no-shows, or head to Automating Review Requests After Visits to start building your online reputation without any extra work from the front desk.
